Convert the request into a usable brief
Begin with the program, recipient, quantity, budget basis, delivery ZIP, in-hands date, artwork, required components, and packaging expectations. Record who approves the artwork and whether the distributor or end client will receive samples.
If a named golf-ball brand is requested, capture the model as well as the brand. Treat its supply and decoration as a separate verification item rather than assuming that every model is continuously available through every channel.
Match components before pricing
Review product dimensions, decoration methods, minimums, sample requirements, packaging fit, assembly, and carton information as one build. The highest component minimum or the most restrictive process may determine the workable project quantity.
Keep substitutions visible. A proposed alternative should show what changes in material, appearance, decoration, packaging, timing, or cost instead of being presented as an identical replacement.
Create an approval trail
Tie the quote, artwork proof, sample decision, and production release to the same product codes and specification version. If quantity, artwork, packaging, destination, or date changes, identify which supplier assumptions must be refreshed.
This record protects the distributor relationship because the end client can see what was approved while supplier and production questions remain traceable behind the program.
